How Much Does an AI Phone Assistant Cost? Prices and ROI

Summary

The cost of an AI phone assistant depends on more than its price per minute. Call volume, average call duration, monthly fees, setup, integrations and the share of calls the system can actually handle all matter. A simple model helps compare expected costs with time saved without overstating revenue or savings.

Which costs should you include?

When comparing offers, review at least the monthly subscription, usage charge, included minutes or calls, setup and integration work, telephony and forwarding fees, and ongoing support or workflow changes. Also check how minutes are measured and rounded, whether taxes are additional and which contract terms apply. Providers with similar per-minute prices can have different total costs in practice.

Example: our current VoiceBooker prices

Our pricing and feature page lists Starter with no monthly fee and a rate of €0.15 per minute. Premium costs €49 per month and includes 100 minutes; additional minutes cost €0.15 each. We also list 100 introductory minutes. These figures are an example and may change, so check the current prices and plan terms with us before deciding.

For 1,000 minutes in a month, a simplified comparison is:

PlanExample calculationMonthly usage cost
Starter1,000 × €0.15€150
Premium€49 + (1,000 − 100) × €0.15€184

This includes only the listed monthly and per-minute prices, not telephony, setup, taxes or special services. A higher monthly fee is not automatically cheaper at higher volumes. Consider included features, support and contract terms too.

Estimate the cost of your current process

Do not count every minute of an incoming call as staff time saved. Some calls cannot be automated, some take staff less time and freed capacity may be used for other work without reducing payroll costs.

Use a cautious estimate:

Monthly calls × average call minutes × automatable share = automated minutes

Then:

Automated minutes ÷ 60 × fully loaded internal hourly cost = estimated time value

Estimate the automatable share from a sample of real calls. Count only calls the assistant can complete without someone having to collect the same information again.

Worked example with assumptions

A business receives 800 calls per month, averaging three minutes. If testing shows that 40% can be automated reliably:

  • 800 × 3 minutes × 40% = 960 automated minutes
  • 960 ÷ 60 = 16 working hours

At an illustrative fully loaded cost of €30 per hour, the time value is €480 per month. This is a model, not a guaranteed saving. The actual financial effect depends on whether the capacity reduces costs, cuts overtime or simply makes room for other work.

Calculate ROI without wishful thinking

A simple comparison is:

Monthly net benefit = avoided or productively reused labour costs + measurable additional value − total assistant costs

Divide net benefit by total costs to calculate a percentage return. Include additional revenue only when you can measure it, for example demonstrably recovered enquiries. An assumed conversion rate is not guaranteed income.

Include costs that may not appear on the first invoice: setup and knowledge maintenance, staff training and process changes, integration and technical support, handling cases still passed to people, and the cost of incorrect answers or failed bookings.

Which figures should you measure before deciding?

For a representative period, measure call volume and duration, common requests, peak times, missed calls and the share requiring a person. After a pilot, measure the same figures again and add abandonment, successful handovers, repeat calls and caller feedback.

Compare plans using real usage data, not an estimate based on a quiet month. A sound business case considers both cost and the quality of completed requests.

Conclusion

A reliable cost estimate includes the subscription, per-minute rate, included usage, telephony and setup. Estimate the benefit from calls that can actually be automated and from staff time put to useful work. Start with a pilot, measure the results and update the calculation with your own operating data.
